Payment card details: collected only when booking online through Timely to enable us to charge cancellation or no-show fees if applicable

2. Purpose of Data Collection
Contact & appointment details: to schedule, manage, and communicate about your appointments (e.g., stylist availability, delays, or changes)
Card details: to secure your appointment and enable charging for cancellations or no-shows in line with our cancellation policy. No payment is taken at the time of booking unless you choose to pay a deposit.
Reminders: to send automated text messages or emails through Timely regarding your appointment

3. Data Storage and Processing
Your personal and payment data is stored securely by Timely, our salon booking software.
Card details are processed via TimelyPay, a PCI-compliant payment processor, and are encrypted. Staff cannot access your card information except to apply cancellation or no-show fees according to our policy.

4. Retention of Data
We keep your personal and payment information only as long as necessary to manage your appointments and enforce our cancellation policy.
Once no longer required, your data is deleted securely by Timely in line with their retention policies.

5. Your Rights
Under GDPR, you have the following rights regarding your personal data:
Access: request a copy of your data
Correction: request corrections to inaccurate data
Deletion: request deletion of your data, including card information
Data Portability: request your data in a commonly used electronic format to provide to another service
Withdraw Consent: withdraw consent to the processing of your data at any time
Lodge a Complaint: raise a concern with a supervisory authority if you believe your data has been mishandled

6. Cancellation Policy and Fees
Card details are collected to enable charging for late cancellations or no-shows in accordance with our cancellation policy.
You will be notified of any applicable fees via email or text before a charge is applied.
No payment is taken at the time of booking unless a deposit is explicitly chosen.

7. Sharing of Data
Your data may be shared with Timely and its payment processor solely for the purposes described above.
We do not sell or share your personal or payment information with third parties for marketing purposes.
